PTO Board Position Descriptions

Executive Board

President

Manage all operations of the PTO, delegate responsibilities, liaison between Principal and PTO.

Secretary

Manage the general and exec meeting minutes, keep roster up-to-date, manage PTO email address and send email communications about meetings.

Treasurer

Manage the budget, monthly cash flow statements, taxes, and year-end fiscal audit.

Vice President

Assist the President in all activities; Manage VIPs list; Manage grade level coordinators and room moms.

Committees

Awards

Committee will be responsible for the review and final selection of student scholarships (March) and teacher grants (December).

Book Fair

Work with the librarian to put on two book fairs per year to coincide with STEM night (October) and Fine Arts night (February); manage volunteers to work the book fairs.

Communications

Manages website and social media accounts.

Fine Arts Night

Two-hour weeknight event in February featuring fine arts vendors from around town and an Art Show facilitated by art teacher.

Food Drive

Manage a week-long food drive in April benefiting the Brazos Valley Food Bank.

Frosty’s Snow Bash

A family event featuring free pancake breakfast, pictures with Santa, and entertainment by Mr. Suel and kids’ choir.

Fun Run

Work with Boosterthon to organize a Fun Run for the kids. Scope of work includes about one month of planning, including a week of organizing volunteer teams to do prize distribution, plus volunteers to work the actual Fun Run.

Grade Level Coordinator

Work with the grade level team lead to organize grade-specific events, such as decorating the pods for Christmas.

Holiday Shop

Work with Penguin Patch to put on a 4-day holiday shop for the students; also involves decorating the shop and coordinating the volunteers. Coincides with Frosty’s Snow Bash.

Marquee

Update the school’s marquee – work with office to determine schedule and messages.

Musical

Work with Mr. Suel (music teacher) to make sure we have costumes, stage sets, and programs created for all grade-level musicals.

Rodeo and BBQ Cook-off

Our school’s signature annual event – Inflatables, games, entertainment, cupcake wars, BBQ teams, etc. Volunteers needed for specific tasks such as Volunteer Coordinator, Food Trucks, Games, BBQ Cook-off, Decorations, Cupcake Wars, and Hype Week.

School Shirts

Manage production of school shirts at the beginning of the year.

Spirit Shop

Manages spirit shop inventory (shirts, hats, stickers, spirit sticks, etc.) and sales. Coordinate volunteers to work Spirit Shop at school events (such as Frosty’s and Rodeo) and manage online order fulfillment.

Sponsorships

Solicits sponsorships from local businesses to fund the PTO budget; manages relationships with our business sponsors.

Staff Appreciation

Coordinate with school to provide fun meals and experiences to “treat” our teachers – one event per month plus a week of Teacher Appreciation in May.

STEM Night

Two-hour weeknight event in the fall featuring STEM-oriented vendors from around town. Coordinate vendors and volunteers.

Yearbook

Work with committee to create the design and layout of the 70+ page yearbook. We also need a couple of people to photograph school events, and help with promoting the yearbook with flyers.
